HubSpot to Pipedrive: What Switching CRMs Actually Costs
Pipedrive's list prices are well below HubSpot Sales Hub Professional, so the switch looks like an easy saving. Whether it is depends mostly on one date: when your HubSpot commitment ends.
Quick answer: In our worked example, a 10-seat sales team moving from HubSpot Sales Hub Professional to Pipedrive Premium breaks even in month 10 if it switches at renewal. Switch with six months of HubSpot left and it takes 27 months; with 11 months left, it doesn't pay back within three years. HubSpot doesn't allow mid-contract cancellations, so the remaining term is a real cost. Going the other way, from Pipedrive to HubSpot Professional, costs more every month plus a required onboarding fee, so it only makes sense for features, not savings.

The costs a price comparison misses
1. HubSpot's commitment term
HubSpot's help center is direct about this: "Mid-contract cancellations are not permitted," downgrades take effect on your renewal date, and if you cancel before your commitment term ends, you are still charged until it does. HubSpot asks customers to contact it at least five business days before the renewal date to discuss a downgrade. Check your own order form for the exact notice terms. Every month left on the commitment is a month you pay for both CRMs.
2. Moving the data
Pipedrive's HubSpot migration guide uses its built-in importer: you export HubSpot data as separate files by object type and import them into Pipedrive. It covers organizations, people, deals, leads, activities, notes, custom fields and labels. Before importing, you need to create matching custom fields, rebuild pipelines and stages, add any missing activity types and use a unique field such as email to link records. Pipedrive recommends a test import of 5–10 records first, and imports can be reverted. One structural difference: Pipedrive doesn't separate marketing and non-marketing contacts the way HubSpot does, so that status has to be carried over manually. For more complex moves, Pipedrive points to its technical setup team and to Import2, a third-party migration service.
3. What HubSpot did that Pipedrive won't
If your team uses HubSpot's marketing tools, sequences, forms or reporting, list each one and decide whether Pipedrive, an add-on or another tool replaces it. Anything you drop is a cost your team absorbs in time; anything you replace is a new subscription to add to the "switch" column.
4. People's time
For the example below we assume 50 hours in total: about 40 hours to export, clean, map and import data and rebuild pipelines, plus an hour of retraining per rep. That is our assumption for a simple 10-seat setup, not a vendor figure; heavy customization or integrations will push it up.
Worked example: 10 sales seats
All scenarios use the switching cost calculator with 10 seats, 50 hours at $60 an hour ($3,000 one-time), no paid migration service, HubSpot Professional at the $90 annual rate, and a 5% annual price rise on both sides.

Each month of HubSpot left costs this team $900 of double payment. With 11 months left, that is $9,900, more than three times the migration effort, which is why the Premium move stops paying back within three years. The cheaper Growth plan still pays back, but seven months later than it would at renewal.
The other direction: Pipedrive to HubSpot
A 10-seat team moving from Pipedrive Premium ($59) to HubSpot Sales Hub Professional ($90) pays $310 more a month plus the $1,500 required onboarding fee. With the same 50 hours of internal time, the calculator shows no break-even at all and about $16,200 more spent over three years. That can still be the right call if HubSpot's features save your team more than that in time or revenue, but it should be decided on those grounds, with that number in view.
A checklist before you switch
- Find your HubSpot renewal date and notice terms in your order form, and plan the cut-over for renewal.
- List the HubSpot features you use, including marketing, sequences and reporting, and decide what replaces each.
- Export by object and clean the data before import: duplicates, missing emails, inconsistent stages.
- Rebuild pipelines and custom fields in Pipedrive first, then run a 5–10 record test import.
- Plan the marketing-contact status, since Pipedrive doesn't track it the same way.
- Run the numbers in the calculator with your own seat count, hours and contract dates.
